Step 1: Company Information

Learn how to set up your company greeting, address, hours, and other company info for your AI Receptionist.

The first step in setting up your AI Receptionist is adding your company information. This includes your greeting, time zone, website, address, directions, business hours, and a short description of your organization.


Greeting

Your greeting begins with a preset:

“Thank you for calling [company name]. This is Abby, how may I assist you?”

The second sentence is not editable, but everything before it can be customized. This allows you to adjust the greeting so it feels natural to your business while still maintaining professionalism.


Address and Directions

When entering your address, you can decide whether or not callers should be given your physical location. Use the “Ok to give out physical address?” checkbox to make this choice.

  • If the box is unchecked, the AI Receptionist will not provide the address or any directions.

  • If the box is checked, you can provide helpful directions for callers. This could include cross streets, landmarks, or visual cues such as “look for the blue and white sign.”


Company Description

The field labeled “What does the organization do?” should be kept short—ideally two to three sentences. Focus on a clear overview of your services without adding pricing or extensive detail. Since the AI Receptionist tends to read this directly to callers, it’s best to use “we” language, as though you’re answering the phone yourself.

Example: “We are a law firm that practices family law, criminal law, and elder law.”


Hours of Operation

You can set your business hours by choosing the 24/7 preset or entering your own schedule manually. The AI Receptionist answers calls 24/7, but the hours you set here control when calls can be transferred to your team.

To adjust hours, click the start and end times for a specific day. A copy icon is also available so you can quickly apply the same hours across multiple days.

Holiday hours work the same way as regular business hours. You can mark your business as open or closed on major holidays and specify adjusted times as needed. This ensures callers always receive accurate information during seasonal changes.


Once your company information is set up, the next step is to build out your FAQs. FAQs allow your AI Receptionist to give callers more detailed and customized answers beyond the basics of your business profile.
