After you’ve set up your company information, the next step is to build your FAQs. FAQs allow your AI Receptionist to answer common questions directly, saving you time while ensuring callers get clear and consistent responses.
Preset FAQs
To help you get started, we provide a few preset questions covering topics such as pricing, services offered, and service areas. You can use these as a starting point, but you'll have to add your own answers.
Creating Your Own FAQs
You can add an unlimited number of FAQs. If there are multiple ways a caller might ask the same question, you can combine them into a single FAQ. For example:
“What is your address? Where are you located?”
“How much is a consultation? Do you offer free consultations?”
The AI Receptionist is good at understanding context, so you don’t need to create every possible variation—just cover the main ways callers might ask.
Formatting FAQ Answers
When writing answers, keep them simple, friendly, and conversational. Avoid one-word responses like “yes.” Instead, phrase answers the way you would if you were speaking to a caller on the phone, using “we” language. For example:
Instead of: “Yes.”
Say: “Yes, we do offer free consultations. We’d be happy to schedule one for you.”
It’s also important to spell things out clearly. For websites, use “dot com” instead of typing the symbol. For pricing, write out the amount in words, such as “fifteen hundred dollars” instead of $1500. This ensures clarity when the AI reads the information aloud to callers.
Sharing FAQs with Human Receptionists
You’ll also see an option to make an FAQ available to your human receptionists. This can be helpful if the AI Receptionist needs to escalate the call. You can select up to five FAQs to share with the human receptionists, but the FAQs available to the AI itself are unlimited.
With your FAQs in place, your AI Receptionist can now handle the most common questions from callers. The next step is to set up your contacts—any people on your team who will be receiving transfers or messages from the AI Receptionist.
