What Is Scheduling with Abby?

Scheduling with Abby means your receptionists (human or AI) can book and manage appointments directly on your behalf. We connect to your calendar system so your availability stays up to date and your clients never double-book or wait for confirmation.

Scheduling with Live Receptionists

Your Abby Live Receptionists can manage scheduling through several supported methods depending on your plan level and system setup.

Professional & Growth Plans

  • Both the Professional and Growth plans include Calendly scheduling.

  • Calendly is the simplest and most efficient platform for our receptionists to navigate — ensuring a seamless experience for both callers and your team.

  • With Calendly connected, receptionists can:

    • Schedule appointments in real time.

    • Avoid double-bookings using your live availability.

💡 Tip: If you don’t already have Calendly set up, your Onboarding Manager can help connect it during onboarding.


Using Other Scheduling Systems

If you use a scheduling tool other than Calendly (such as Acuity, Setmore, or Square Appointments), you’ll need to subscribe to one of Abby’s Scheduling Assistant options:

Standard Scheduling Assistant

  • Works with open-source or clickable scheduling links that do not require login access.

  • Receptionists can book new appointments using your shared link but cannot reschedule or cancel existing ones.

Advanced Scheduling Assistant

  • Required for any scheduling system that requires receptionist login access.

  • Includes full appointment management: scheduling, rescheduling, and cancellations.

  • Ideal for systems that need real-time access to client data or internal booking tools.

💡 Benefit: Choosing the right Scheduling Assistant level ensures receptionists can manage your appointments accurately without disrupting your existing process.


Scheduling with the AI Receptionist

Your AI Receptionist can also assist callers with scheduling, currently through Google Calendar integration.

How It Works

  • The AI Receptionist connects directly to your Google Calendar, reading your availability in real time.

  • When a caller requests an appointment, Abby AI checks your open time slots and creates the event automatically.

  • The appointment appears instantly on your Google Calendar with the caller’s details.

Supported Integrations

While the AI Receptionist currently integrates only with Google Calendar, Google syncs with many other platforms — including Calendly, Acuity, Square, and Outlook — allowing you to manage all appointments from one place.

💡 Benefit: Even though Abby AI connects through Google Calendar, you can still centralize scheduling across multiple systems by syncing your tools through Google’s integration options.

  • If you use a team calendar, clearly name individual calendars so Abby books the correct person.
