What Are Known Callers?

Known Callers (also referred to as VIP Callers) allow your Live Receptionist team to recognize specific phone numbers and follow special handling instructions when those callers reach out.


What Known Callers Do

When a designated VIP caller contacts your business:

  • The receptionist immediately sees the caller’s name.

  • Any special handling instructions appear in the account.

  • The call is handled according to your predefined preferences.

Examples of special instructions may include:

  • Always transfer to a specific person

  • Bypass standard screening questions

  • Prioritize transfer before other calls

  • Use a custom greeting

  • Send messages to a specific contact

Recognition is based on the caller’s phone number.


What Known Callers Do Not Do

  • They do not automatically change your call handling rules.

  • They do not override your availability settings unless you specify instructions.

  • They only apply when the caller uses the designated phone number.

If the caller calls from a different number, they will not be recognized automatically.


How to Add Known Callers

To add VIP callers to your account:

Email your list to:

Include:

  • Caller’s name

  • Phone number

  • Any special handling instructions

Our team will update your account so receptionists can recognize them immediately.


Updating or Removing Known Callers

If you need to modify or remove a VIP caller:

Email the updated details to [email protected].

Changes typically take effect shortly after being processed.


Best Practices

  • Keep your VIP list updated if key contacts change numbers.

  • Be specific about handling instructions to ensure consistent execution.

  • Review your list periodically to confirm it still reflects active relationships.
