Scheduling Assistant

The Scheduling Assistant is an add-on service that allows Abby Connect to handle appointment scheduling on your behalf.

Instead of booking appointments during the initial call, receptionists collect the caller’s information and a dedicated Scheduling Coordinator completes the scheduling process shortly after.

This approach allows Abby Connect to support more complex scheduling systems and appointment rules.


How the Scheduling Assistant Works

Scheduling follows a two-step process.

Step 1: Intake Call

When a caller contacts your business to schedule an appointment, the receptionist gathers the required details and explains that a Scheduling Coordinator will call them back to finalize the appointment.

Example:

“I’ll pass this information to our Scheduling Coordinator, and they’ll call you back shortly to finalize your appointment.”

The intake portion of the call counts toward your Human Receptionist minutes.


Step 2: Scheduling Callback

A Scheduling Coordinator calls the customer back, usually within 10 minutes, to schedule the appointment.

During this call the coordinator will:

  • Confirm the appointment type

  • Verify the appropriate staff member or provider

  • Book the appointment in your scheduling system

  • Confirm the appointment date and time with the caller

This outbound call counts toward your Scheduling Assistant minutes.


Scheduling Platforms

Scheduling Coordinators can work with most cloud-based scheduling platforms.

For Advanced Scheduling Assistant plans, our team may log directly into your scheduling system to create appointments on your behalf.

Your scheduling system must be cloud-based to allow secure access.


What the Scheduling Assistant Can Handle Well

This service works best for appointment flows that follow clear rules.

Examples include:

  • Scheduling consultations or new patient visits

  • Booking standard services (such as cleanings or treatments)

  • Multi-step scheduling processes

  • Conditional appointment flows based on patient or service needs


Limitations

To ensure scheduling accuracy, the Scheduling Assistant does not support:

  • processing or collecting payment information

  • highly specific availability requests such as “only mornings” or “only evenings”

If a caller requests a change that cannot be confirmed, the Scheduling Coordinator will advise the caller accordingly.

Scheduling Assistant
$199/month
Includes 50 scheduling minutes.

Advanced Scheduling Assistant
$597/month
Includes 150 scheduling minutes and direct calendar booking by our team.

A one-time setup fee of $95 applies.
