What Upcoming Statuses Do

Upcoming Statuses act as pre-scheduled call availability settings. They automatically update your Call Status at the times you choose, so you don’t have to remember to toggle it manually.

This feature helps:

  • Prevent missed or mistimed live transfers.

  • Keep your schedule visible and predictable for the receptionist team.

  • Maintain smooth, uninterrupted client communication.

How to Set an Upcoming Status

Option 1: From the Call Handling Page

  1. In the Abby Portal, go to Account → Contacts → Call Handling.

  2. On the right side of the screen, you’ll see your Upcoming Statuses section.

  3. From here, you can view, edit, or add a new upcoming status directly.

Option 2: From the Call Status Section

  1. Navigate to your Call Status in the Abby Portal.

  2. Click the gear icon next to your status toggle to edit when and for how long the new status should apply.

  3. Select “Advanced Settings” to set additional conditions such as:

    • Only transferring specific callers.

    • Adding notes or detailed explanations for the receptionist team.

  4. You can also save this setup as a template for future use — perfect for recurring meetings or predictable time blocks.

💡 Tip: Use templates for your regular schedule (for example, weekly team meetings or recurring focus blocks) to save time and stay consistent.

Example

Let’s say you have a client meeting from 2:00–3:00 PM.

  • Set your Upcoming Status to Unavailable from 2:00–3:00 PM.

  • After 3:00 PM, your status will automatically switch back to the original setting.

This ensures receptionists don’t transfer calls to you during your meeting and know when you’re back on the line.

Why It Matters

Upcoming Statuses make your day more efficient by automating your availability and removing the need for constant manual updates. They keep your receptionist team informed and your callers consistently supported — without interruptions.

✅ Best Practice

Review your calendar at the start of each day and set Upcoming Statuses for meetings, lunch breaks, or focus time. It’s a simple step that keeps communication seamless and ensures clients always get the best experience.
